Berger Scheme Tracker System- User Help
 
Purpose:  To receive gift items from third party shippers despatched directly to the respective depots.

 
The depot can receive gift items in 4 ways.

1. Gift items despatched by the third party shippers like Mazmonet (NIiadhri Associates) to respective depots

2. Gift items directly delivered by the vendor when locally the item is procured against a Purchase Order raised  HO on the vendor instructing them to deliver to the depot as per annexure of the PO.

3. The total gift items are  delivered by the vendor to a regional depot and regional depot in turn despatches the gifts to the other depots as per the PO annexure.

4. Depot receive gift items from another regional depot where the items were despatched by third party (consolidated Despatched) and the regional depot transfers the items to the respective depot.

This option is used for option 1 which is depot receiving the gift items from the third party shippers. When you receive a courier despatch from the third party select this option. The financial year comes as default current financial year. The next field is the scheme code dropdown list. The user will see a list of scheme codes against which gift has been despatched by the third party. Check the label of the courier packet which has the scheme code and the gift item printed on it.

select the scheme code from the scheme code dropdown. Based on this selection click the next field advice no dropdown and select the advice number printed on the packet label. First open the gift boxes and verify that you have received all the items as per the label details. After verification you need to update the receipt of material so that the depot stocks will be updated.
 

 

 
Once the user selects the advice number printed on the label of the gift packet from the dropdown list, The consignment details will be displayed. You can receive more than one packet under different courier consignment numbers which are displayed as shown in the screen. Tick the check box, the first field in the display against each consignment number. Enter the following fields as per actual receipt of items.

1. Enter field Quantity Received & Quantity Accepted. Change the accepted quantity  incase the gift items is damaged and need to take only the accepted quantity.
2. Incase you have received damaged gift item. For eg you received 10 numbers out of which 2 are damaged enter quantity Received as 10 and quantity accepted as 8. When you submit the stocks will be updated. The depot now can create dealer advice for the dealers against the scheme & received gift item.

PLEASE NOTE THAT ONCE YOU HAVE ACCEPTED THE QUANTITY THE DEPOT STOCK FOR THE SCHEME & GIFT ITEM WILL BE UPDATED. THE DEPOT SHOULD ENSURE THAT THEY HAVE RECEIVED THE GIFT ITEM AND VERIFIED THE NUMBER OF PACKETS & QUANTITY AND INSPECTED THE ITEMS ARE RECEIVED IN GOOD CONDITION BEFORE DOING THIS UPDATE.

Shortcut keys are also provided so that the user can press the relevant shortcut key for the necessary action.

F7 - Submit
F8 - Cancel
F9 - Reset
F2 - to view the depot gift stock status.
